The difference between 4,000 useless results and 60 strong ones is rarely the database. It's how the search is built.

How do you search a CV database effectively?

Start with a broad job-title search, then narrow with Boolean operators (AND, OR, NOT), quoted phrases and brackets. Add location radius, salary range and CV freshness filters, then save the search so new matches come to you.

  • Use OR for job-title variations, e.g. ("HGV driver" OR "LGV driver")
  • Use quotes for exact phrases and brackets to group terms
  • Exclude noise with NOT, e.g. NOT trainee
  • Sort by CV last-updated date to reach active candidates first

The three operators that do most of the work

  • AND — every term must appear. Narrows results. Use it for non-negotiables like a licence or qualification.
  • OR — any term can appear. Widens results. Use it for the different names one job actually goes by.
  • NOT — excludes a term. Use sparingly; it's easy to accidentally delete good people.

Wrap phrases in "quotation marks" so "project manager" isn't read as two separate words, and use (brackets) to group your OR lists together.

Search for evidence, not job titles

Job titles are unreliable. One company's "Operations Coordinator" is another's "Logistics Administrator". Skills, systems, tickets and certifications are far more consistent — think SAP, CSCS, IPAF, Xero, SolidWorks, NMC, CIPD, PLC, HGV Class 1.

Build your string in four layers

  1. Job title variations, joined with OR.
  2. The one skill or ticket the role cannot do without, joined with AND.
  3. Sector or context words, if the title alone is ambiguous.
  4. Exclusions, only if you're drowning in one specific wrong result type.

Filters worth setting every single time

  • CV updated in the last 14–30 days. The single biggest lever on reply rates.
  • Distance from postcode. Use the workplace postcode, not the head office.
  • Salary expectation. Filter honestly — hiding a low budget wastes everyone's day.
  • Job type. Permanent, temporary or contract candidates behave very differently.

Boolean search uses the operators AND, OR and NOT, plus quotation marks and brackets, to combine keywords precisely. It lets a recruiter say 'this skill and either of these two job titles, but not this industry' in a single search string.

Why does my CV search return thousands of irrelevant results?

Usually because you searched a single broad job title with no filters. Add a must-have skill or qualification, restrict the location radius, and limit to CVs updated in the last 30 days. Aim for 40 to 120 results you can genuinely review.

How do I search for candidates with no matching job title?

Search for the evidence instead of the title: the software they'd use, the certification they'd hold, the machinery they'd operate, or the name of a typical previous employer. Skills-based searching finds career changers that title searching hides.

What is a good response rate for CV database outreach?

Personalised approaches to recently updated CVs typically get a much higher reply rate than bulk generic messages. Reference something specific from the CV, keep it under 120 words, and be clear about pay and location.
